Event Strategy, Management & Delivery
Client Overview
One of New Zealand’s leading private schools sought to deliver a fundraising event to support a school rugby tour. The school wanted an event that would bring the community together, be accessible and enjoyable, and still generate a meaningful fundraising outcome.
Challenge
The school wanted to ensure the event was inclusive and appealing to a broad range of supporters. Key challenges included:
Designing an event that allowed as many people as possible to participate and feel they were contributing.
Balancing affordability and accessibility with the opportunity for supporters to contribute at higher levels if they wished.
Delivering an event that was well organised, professionally run, and genuinely enjoyable.
Securing sponsorship and donations to maximise fundraising outcomes without overburdening school staff or volunteers.
The school required support to design, promote, and manage the event end-to-end while ensuring it aligned with its community values.
Our Approach
Wycane worked closely with the school to design and deliver a golf day that catered to a wide range of participants and supporters. Our approach included:
Designing an inclusive event format, including golf teams, a golf masterclass for newer golfers, and non-golfing supporters.
Developing a sponsorship structure, securing an event sponsor, hole sponsors, and auction donations.
Managing promotion and registrations to maximise attendance and participation.
Coordinating logistics, suppliers, and on-the-day delivery, including food, activities, and programme flow.
Securing local business support, including a sponsored food truck and in-kind contributions.
Hosting post-event hospitality in the clubhouse, including drinks, food, and a prominent guest speaker to entertain and engage attendees.
Wycane managed the event from concept through to delivery, ensuring a professional experience for both participants and sponsors.
Outcome
The event was attended by more than 130 people and successfully brought together golfers, supporters, sponsors, and the wider school community. The golf day ran smoothly, was widely regarded as enjoyable and well organised, and achieved strong participation across all segments of the audience.
Impact
The event raised approximately $45,000 in support of the rugby tour. Beyond the financial outcome, the school benefited from:
High levels of participant satisfaction and positive feedback.
Strong engagement from sponsors and local businesses.
A strengthened sense of community and shared contribution toward a common goal.
A repeatable event model that can be used for future fundraising and engagement initiatives.
Is event delivery placing too much pressure on staff or volunteers?
Wycane supports schools with professional event design and delivery that lifts the burden while maximising engagement and return.
